Where is the admin getting stuck?
Work through one problem with your payroll or finance team. Start with a completed month or period.
Use descriptions, not personal records.
Work from blank report layouts and process notes. Don’t send employee, payroll, policy or health records to Khusela. Removing names does not make real records fictional.
Write down the problem
- Which provider, benefit and period are involved?
- Where does the work stop, and what information is missing?
- Who can explain the process from start to finish?
Check what you already have
- Can a report or feature in your payroll system answer the question?
- What does the provider portal show?
- What has the support team said? If their answer solves it, use that before buying a review.
Make sure you’re comparing the same thing
- Do both reports refer to the same contribution period?
- Can you distinguish the expected amount, payroll deduction and provider allocation?
- How do you flag missing information or duplicate rows without assuming what they mean?
Give someone the next action
- Who will request the missing information?
- Who can review the answer and approve any change?
- What evidence would close the issue? What would keep it open?
An example
Suppose a made-up record shows R95 deducted and R80 allocated. There’s a R15 difference, but you still need to know whether both amounts relate to the same period. The difference alone does not prove a debt or explain what went wrong.
