Sample process review

What you get from a review.

A worked example of a payroll query, the missing checks and who needs to act.

This example uses made-up records.

It is not client work. The organisations, people, dates and amounts are fictional. No money was recovered.

The problem

A payroll report shows R95 deducted for member DEMO003 in August 2026. The provider shows R80 allocated, with a posting date of 2 September but no contribution period.

The payroll team sees a R15 difference and asks finance whether to request a correction. Finance cannot yet tell whether the two entries belong together.

The next action

Ask the provider which contribution period the R80 belongs to and request the reference linking it to that period. Keep the issue open until finance has enough information to compare the entries.

A difference in amounts alone does not justify a correction or prove that money is owed.

Who does what

  1. Payroll: supply the payroll reference and contribution period.
  2. Provider contact: request the allocation reference and period through the existing support channel.
  3. Finance: review whether the entries can be compared and record the decision.
  4. Authorised approver: approve any later change through the employer’s normal process.

Checks the team can repeat

These are worked process checks, not results from a customer’s system. Khusela does not change payroll, payments or cover.
